ARTOVIA is a professional engineering firm located in Covington, Louisiana. We make communities stronger by helping our clients improve infrastructure.  

Our firm has an immediate need for a results-oriented individual to fill a full-time Administrative Assistant position.


The ideal candidate will have the following minimal attributes:

  • High school diploma or its equivalent.

  • A minimum of three years’ experience in performing routine office administrative and secretarial services and duties. While experience with a professional engineering firm is a plus, it is not mandatory.

  • Excellent organizational and written and verbal communication skills, sharp attention to detail, and the ability to work as a team player are essential.

  • Knowledge of and skills in standard office practices and office equipment. Must be proficient in Microsoft Office especially Outlook, Word, Excel, and PowerPoint. Experience with Adobe Acrobat for creating PDFs is a plus, but not mandatory.

  • Ability to multi-task and complete tasks on time while maintaining the highest standard of quality control.

  • Excellent client-services attitude with the ability to support all levels in the organization.

  • Exhibit punctuality with a strong work attendance record.

  • Possess a strong work ethic and agree to safeguard the confidentiality of the firm and clients.

Responsibilities will include:

  • Preparing and processing of various types of correspondence, forms, and reports. 

  • Performing quality control reviews of project documents prepared by other team members, helping to ensure that they are properly formatted and grammatically correct. 

  • Supporting the production and highest possible quality standards of project deliverables by making copies of documents, organizing and filing documents, and the assembly of binders for various reports and operation manuals. 

  • Managing the firm’s business and project record keeping activities, including maintaining the electronic and hard copy filing system.

  • Providing support to other team members.

  • Preparing and scheduling office activities, updating and maintaining multiple calendars.

  • Answering and forwarding incoming phone calls and managing phone messages as well as greeting visitors.

  • Monitoring, ordering, and organizing office supplies; and managing and handling of all incoming and outgoing mail and other office-related activities.

  • Assisting in reviewing and processing contractor certified payrolls and other grant-related documents.

  • Assisting with bookkeeping and invoicing activities.

  • Providing additional administrative duties and other tasks as required.
